We built VendGogh because we ran vending routes ourselves. We know the 5 a.m. start, the drive to a machine that was already full, and the card reader that stopped without a word.
For the past year, we listened to the operators who use VendGogh every day: on calls, in support requests, and in demos. Then we rebuilt the portal around one goal: know the state of every machine before you drive, and spend your time on the machines that cost you money.
This is the new VendGogh. It is the same vending management software, with a new look and new tools for the people who do the work.
Meet Vince, the assistant inside VendGogh
Vince
Assistant Summit Vending Co.Vince is an assistant in the portal. You ask Vince a question in your own words, and Vince answers from the data of your own fleet:
- Which items and machines sold the most last week, and at what estimated margin?
- Which machines are not reporting, and which alerts are open?
- Which coils are low on stock?
Vince also makes changes for you: new items, a machine set-up, routes, and tags. Vince can read a spreadsheet that you upload.
For every change, Vince shows a plan first. Nothing changes until you select Apply, and VendGogh keeps a record of who approved what. The assistant does the typing. You make the decision.
Vince is live in the portal now. Book a demo to see Vince work on your own machines.

Operations shows the health of your whole fleet on one screen. Every machine has a status, and the machines that need you come first.
- A machine is not reporting when it misses three or more expected reads, or when the payment provider reports the card reader offline. We explain this status in the silent machine.
- The top of the screen shows today’s vends, today’s revenue, your cashless share, and the machines that are not reporting.
- The figures refresh about every 5 minutes.
- The machine page shows the evidence under each status: the last read, power and door events, temperature, and sales per coil.
- Machines that report through a telemetry provider give the same per-coil counts as machines that send DEX directly. See what a DEX file contains.
- A machine with no connection that can report shows as not measurable. VendGogh does not raise an alert for it.

You do not set a threshold for each machine. Operations › Alerts raises an alert when a machine changes status, and sorts every alert by the dollars at stake per week. The most expensive problem is at the top, not the newest one.
- Resolve an alert when you fix the machine. Set it aside when you accept the condition, for example a closed location.
- Every alert stays on the record, with what happened next.
- The top of the screen shows the oldest open alert, the share of alerts that cleared themselves, and the median time to clear.
Alerts are in public preview, and they show in the portal on your computer and on your phone. We explain the design in vending machine alerts nobody had to configure. See alerts ranked by impact.

The portal has a new brand and a side menu. A section and its screens show together. The menu folds to a strip of icons when you need the width, and on a phone it becomes a header with a drawer.
- Choose light mode, dark mode, or the setting of your device.
- Choose a colour theme: Default, Ember, or Vaporwave.
- Use the portal in 12 languages, with right-to-left layouts for Arabic and Hebrew.
The right screens for each person
A new driver does not need user settings. Roles give each person the screens for their work: Admin, Warehouse, Driver, Finance, and Configuration.
- A new user gets a role with the invite. Only an Admin can change roles.
- Home suggests the next two to four steps for each person.
- The menu has clearer names: Setup, Restocking, Hardware, and Support.
- The Lots in Machines report shows the lot and the expiry date in every coil.

If you resell VendGogh or run sub-operators, the portal carries your brand, not ours.
- Your logo shows in the menu, and it fits when the menu folds.
- Your accent colour replaces the VendGogh teal on every screen, in light mode and in dark mode.
- Press ⌘K or Ctrl+K, type the name of a sub-operator, and act as that operator on the screen you already have open.
- A name tag in the header shows the operator you act as. The way back names your own company.
- In Operations, filter the machine list by sub-operator.
Help inside the portal
- 34 new training videos show one task each, from your first sign-in to cash collections and alerts. Watch them in the portal under Learning, or in one YouTube playlist.
- Support Request sends your question to the VendGogh team from inside the portal. You do not need a second login.
What we build next
The new VendGogh is a base. Our roadmap gives no dates, and this post does not either.
- Inventory status: the stock of every machine on one screen, so you see which machines need product before you plan the route.
- Machines that set themselves up: a machine that has power and reports becomes a set-up machine from the data it sends. A person checks only the machines that VendGogh does not recognize.
